# Privacy and workspace data

> Understand how digital business cards, contacts, enrichment, notes, and exports use workspace data.

Owners and admins are responsible for the information they add to Tapify and how their organization uses collected contacts. This page explains the main workspace controls.

## Digital business cards

Anyone with a member’s public link, QR code, or Tapify NFC Card can view the information published on their digital business card. Review personal and company details before inviting the member or sharing the card.

Updating a digital business card changes what appears at the same online link. It does not remove information someone previously downloaded, saved to their phone, photographed, or copied elsewhere.

## Workspace contacts

Owners and admins can view contacts collected in the selected workspace. A contact can contain professional details, capture information, the connected team member, tags, a submitted message, and an internal note.

Only store and use contact information when your organization has an appropriate reason to do so. Avoid placing sensitive personal information in internal notes or tags.

## Contact enrichment

Enrichment uses the information already on a contact to look for matching details in public professional sources. Suggested information may include a job title, company, business email, website, LinkedIn profile, or business address.

Tapify does not add your workspace’s digital business cards or contact list to its enrichment sources, and never uses that information to enrich another customer’s contacts.

Enrichment can make an incorrect match. Team members should review suggestions before applying them, and admins should correct inaccurate contact information when they find it.

## Messages, notes, and tags

A message submitted through a digital business card is stored with the contact. Internal notes and tags are added by your team and are not shown to the contact on the digital business card.

They are still workspace data and may be visible to people with access to the contact. Follow your organization’s policy when recording notes or categorizing people.

## Exporting contacts

Admins can select contacts and export them as a CSV file. The downloaded file is no longer protected by Tapify’s workspace controls.

* Store exports in an approved location.
* Share them only with people who need access.
* Remove old exports when they are no longer required.
* Do not send contact exports through an unsecured channel.

## Removing data

* Canceling a Teams subscription does not delete the workspace or its data. Tapify retains the data so the customer can resubscribe or delete the workspace later.
* Deleting a contact permanently removes it from the workspace.
* Deleting a team member removes their workspace data and access.
* Deleting a workspace removes its team members, contacts, brand kits, products, settings, and access.

These actions do not remove copies that were previously exported, downloaded, or saved outside Tapify.
